This policy explains what the Light Sword Martial Arts Federation collects when you visit lsmaf.org, join as a member, register a roster, or pay dues, and what we do with it.
The Light Sword Martial Arts Federation ("LSMAF," "the Federation," "we," "us") is a Virginia nonstock corporation (nonprofit). Our 501(c)(3) status is pending. We are the national governing body for competitive light sword martial arts in the United States. Our office is at 4701 Shore Dr., Ste. #103-440, Virginia Beach, VA 23455. One address reaches the office for any privacy question: [email protected].
We collect information in the following ways:
Forms on our site. Contact forms and similar pages collect your name, email, and whatever message you send us.
Dues and membership records. The /join page collects a membership category (athlete, athlete under 18, coach, official, academy, or affiliate), your legal name, email, date of birth, affiliation, and club name and country. This information is submitted to the Federation's membership system at members.lsmaf.org, which runs on the Acadevo platform, operated for us by Holistically Simple. Payment is processed by Stripe; we do not see or store your card number.
Minors and guardians. If you register as an athlete under 18, the form also collects a parent or guardian's name and email, and their consent.
Rosters. Academy and affiliate members may submit an optional roster of team members, including each person's name, email, date of birth, and consent.
Website chat. If you use the "LSMAF office" chat, we collect what you type and, if you give it to the chat, your contact information.
Events and competition. Registering for a sanctioned event collects your name and category, and event participation produces results and rankings.
Email. If you receive Federation email, we know your address and whether you opened or clicked it.
Analytics. We use Umami, a cookieless analytics tool, to see how many people visit our pages. Umami does not track you across other sites and does not use cookies.
We use this information to process membership and dues, issue Member IDs and digital cards, run and score sanctioned competitions, publish results and rankings, staff and certify officials, answer questions through our office or our website chat, send the emails described below, keep our membership and roster records accurate, and meet our legal and recordkeeping obligations as a nonprofit governing body.
We send text messages only to people who opted in on one of our forms.
By checking the SMS consent box on one of our forms, you agree to receive text messages from the Light Sword Martial Arts Federation at the number you provided, including replies to your request and reminders about your membership, events and competitions. Message frequency varies. Message and data rates may apply. You can opt out at any time by replying STOP to any message; reply HELP for help or email [email protected].
Your phone number and your SMS consent are used only for the messages you agreed to. We do not share, sell, rent or transfer your phone number or SMS opt-in information to any third party or affiliate for their marketing purposes. The only parties that process this data are our service providers (for example, our messaging carrier) acting on our behalf.
The "LSMAF office" chat on our site is an AI assistant. It answers from Federation material we have approved, such as our rules and published documents. It never claims to be a person. When it cannot answer a question, it hands the conversation to our office by email so a staff member can respond. We keep a record of chat conversations.
Anyone under 18 registers with us only through a parent or guardian. For a minor member, we collect the minor's name, date of birth, and category, and the guardian's name, email, and consent. A parent or guardian may ask us at any time to access or delete the information we hold about their minor by writing to [email protected].
Sanctioned competition is public by nature. A member's name, team, rankings, and competition results may be published as part of results, rosters, and national rankings, including on Saber Circuit, our official tournament platform. When you submit a roster on behalf of your academy or club, you are confirming that you have each listed person's permission to submit their information, and a guardian's permission for anyone under 18.
We do not sell your information. We share it only as needed to run the Federation:
Service providers. Holistically Simple, which operates our public site on the Scale platform and our membership system on the Acadevo platform; Stripe, for payment; the AI language-model provider behind our website chat; our email provider; and Umami for analytics.
Legal reasons. If required by law, subpoena, or to protect the safety of our members and events.
We never sell, rent, or trade your information to anyone for their own marketing.
We keep membership, dues, and competition records for as long as needed to maintain the Federation's permanent record, including national rankings history, and to meet our legal and tax obligations as a nonprofit. We keep chat and email records long enough to resolve the matter they concern and to improve our service.
You may unsubscribe from Federation marketing and update emails at any time using the link in the email. You may opt out of text messages at any time as described in Section 4. You may ask us to access, correct, or delete your personal information by writing to [email protected]; we may need to keep certain records, such as competition results or dues history, as part of the permanent Federation record or to meet a legal obligation.
We use reasonable technical and organizational measures to protect your information, and our service providers do the same. No system is completely secure, and we cannot guarantee absolute security.
We may update this policy as the Federation grows. We will post the revised policy on this page with a new effective date. Continued use of our site or membership after a change means you accept the update.
